Terms and Conditions

Senteurs du Vietnam is a travel agency created by two French brothers living in Vietnam and dependent on Vietnamese law as shown by the company’s local tourist license available here.

1. Validity of the sent quotations and offers

The prices of our programs and excursions are valid for any booking made and validated within the validity date specified on the program or excursion and by default during the month following the mailing of the program or excursion.

The reservation is effective and validated upon receipt of the payment or deposit and passports for each participation. Any subsequent modification or cancellation of a reservation is subject to our terms and conditions (confers points 3 and 4).

Beyond this period, the rate can be possibly adjusted if tariff changes have taken place, including taxes and administrative fees, site entries, inflation (oil, food), etc.

The hotels mentioned in the programs are indicative, subject to availability during validation and may be modified by hotels of equivalent categories if necessary. Unless otherwise stated, the check-in takes place from 2 PM and the check-out before noon.

Note: For all quotes for travel within 2 months, please first consult our standard programs to get an idea of the budget. Indeed, we reserve the right to charge 50 € for the travel proposal which will come as a deduction from the cost of the trip when it is validated.

2.Validation of the booking

2.1 Full trips

For full trips, the validation of the reservation is effective only after receipt of a deposit of at least 30% of the total price of the service and must be accompanied by the sending of the passports from each participant within 72 hours following the validation unless otherwise stated.

The rest of the payment must be made no later than 45 days before the departure date of your trip.

  2.2 Cruise in Halong Bay and Excursions in Vietnam

For cruises in Halong Bay and excursions in Vietnam, the validation of the reservation is only done after the payment of a deposit of at least 50% of the total price of the service and must be accompanied by the sending of passports of each participant.

The rest of the payment must be made no later than 45 days before the date of the cruise or excursion unless otherwise stated during validation.

2.3 One-off excursion

For the one-off excursions, the validation of the reservation is only done after the payment of a deposit of at least 50% of the total price of the service and must be accompanied by the sending of each participant’s passports.

The rest of the payment must be made 15 days before the date of the excursion and upon agreement can be paid in cash at the beginning of the tour.

3. Cancellations

3.1 For individual trips and groups of less than 9 people on tour

In case of cancellation between the validation of the trip and 45 days before departure, we refund 80% of the price of the service.

In case of cancellation between 45 days and 15 days before departure, we will refund 50% of the price of the service.

In case of cancellation between 15 days and 9 days before departure, we will refund 25% of the price of the service.

3.2 For groups of 9 people and more on tour

In case of cancellation between the validation of the trip and 45 days before departure, we will refund you between 50 and 75% of the price of the service.

In case of cancellation less than 45 days and 15 days before the departure, we will reimburse you between 20 and 45% of the price of the service according to the expenses incurred.

3.3 Travel insurance

It is strongly recommended to take out travel, cancellation, assistance and baggage loss insurance.
Indeed, no support could be provided by the agency on this subject.

No refund will be made by the agency in case of:
plane delay, no-show, mechanical incidents, bad weather, strikes, except natural disasters in Vietnam (typhoons, floods… subject to government decrees) or decree of the Vietnamese government.

3.4 Interruption of the journey

In case of voluntary or involuntary interruption, no refund for unused benefits will be made.

Any cancellation of a reservation is subject to the following conditions during normal periods. We reserve the right, at our sole discretion, to provide more advantageous terms depending on the reason for cancellation.

 4. Responsibilities and disputes

4.1 Responsibilities of the agency

Senteurs du Vietnam acts as an intermediary between the client and certain service providers (hotels, airlines, cruise ships, trains…). Each provider remains responsible for their own service.

4.2 Specific activities (diving, sports…)

Risky activities require appropriate insurance.
The clients commit to respecting the safety instructions and to evolve within the limits of their training.

4.3 Program changes & Reservation modifications

Changes to the date of the trip or excursions are handled on a case-by-case basis and may result in additional costs.

En cas d’imprévu (météo, indisponibilité de prestataire, crise sanitaire…), Senteurs du Vietnam pourra ajuster le programme.
L’agence proposera :

• an equivalent alternative,
• or a refund if no solution is possible.

4.4 Accommodation – Practical information

• Extra beds can be of lower comfort.
• Cots or extra beds may incur a hotel supplement.
• in general Check-in: 14h / Check-out: 12h.
• Any early arrival or late departure incurs an additional fee depending on availability.

4.5 Travel documents

Each participant must check the validity and compliance of their documents (passport, visa, permit, vaccinations…).
In case of document failure, the agency cannot be held responsible and no refund will be made.

4.6 Claims

Any claim must be sent by registered mail within 30 days of the return, accompanied by supporting documents. A possible dispute will be settled amicably. In case of complete disagreement, Senteurs du Vietnam being a company under Vietnamese law, it is the Courts of the city of Hue that will be deemed competent.

5. Prices and Payments

The prices displayed on the website are for information only and do not serve as a quotation.
Also, the prices mentioned do not concern the Vietnamese New Year period (10 days before and 10 days after).

Moreover, the prices in euros and dollars are for information only, the exchange rate in force is the one mentioned in the invoice sent during the validation of the booking.
We accept payments by bank transfer, credit card via One Pay and cash.
For payments by bank transfer, transfer and foreign exchange fees are the responsibility of the customer and depend on your bank.
For credit card payments via One Pay, the fee is 4% and is included in the payment link.
